Executive Assistant Secretarial
About the role
Are you an Executive Assistant who has a strong understanding of corporate governance procedures and frameworks within a large business?
Working as part of a team of Executive Assistants, you will provide comprehensive and confidential administrative and secretarial support to the Society Secretary and Assistant Society Secretary, to ensure the timely and effective operation of the Society's governance structure and related procedures.
In this varied role you will:
Provide administrative support to the Secretarial team including:
Setting up Board and Board Committee meetings
Agenda and document preparation
Attendance at meetings when required, documenting minutes and summarising meeting actions
Venue hire and accommodation arrangements (in respect of off-site meetings)
Collation of documentation and supporting information for the Society's Annual and Interim Members' meetings and annual elections
Collation of departmental content for inclusion in the Society's Annual and Interim reports
Collation of documents in liaison with the Corporate Trustee to the Society's Defined Benefit Pension Scheme for the regular schedule of Joint Working Party meetings
Co-ordinating the completion and submission of annual returns and related matters in respect of the Society's subsidiary entities.
Proactively managing diaries, correspondence, invoice payments and communications to the Society Secretary.
Experience of directly supporting senior executive teams, in a fast-paced business
Understanding of corporate governance procedures and decision-making frameworks within a large business
Able to demonstrate exceptional organisational skills and attention to detail
Strong numeracy and literacy skills
Excellent proof reading and editing skills and the ability to implement corporate brand guidelines
Taking minutes at senior level meetings
Proven ability to deliver within strict timescales
Ability to produce work that is accurate whilst working under pressure
Ability to multi-task and prioritise effectively whilst supporting a team
Experience of providing secretarial support to a Board of Directors and/or Board Committees would be beneficial, but not essential.
The team operate on varying shift patterns between the hours of 8.30 and 5.30, therefore some flexibility of working hours is required.Apply Now
